Regardless of whether you submitted or found a mistake online or on your paper application, you will need to write a postal mail letter to CGFNS, 3600 Market Street, Suite 400, Philadelphia, PA 19104-2651 USA, explaining the mistake you made and your instructions to make it correct.

If you are applying for the first time, you can go back and make changes until you submit the application/order. Otherwise, the preferred method of informing us about changes, mistakes and additions is to send us a letter with your signature indicating what needs to change.

You cannot change your name online. You need to send us a letter with your signature indicating the name change and provide photocopies of the marriage certificate or legal name change document.

If you’ve already paid, contact CGFNS by telephone or email immediately to let us know. Once you’ve paid for the Certification Program, we send you an Official Study Guide. If the guide has already been sent, the money for the book cannot be refunded. There may be a challenge getting your payment from one service to the other, but otherwise, the change should be fairly simple.

How do I change my recipients online?

You must send us a letter or email stating the reason for the change and including the contact information for the new CES recipients. Remember that recipients of your report can only be state boards of nursing, schools or others who are approved.

How do I edit online?

My status for my transcripts says “Received But Not Accepted”. I haven’t received an explanation why they are not accepted.

The reason you may not have received an explanation in the mail can be because your contact details are not current or contain a mistake, or that you signed an Authorization to Release Information form, making a third party the recipient of all correspondence from us to you. Another reason is the postal mail service in your country. Please contact us for more information.

How do I remove report recipients?

I get an error message online for the Credentials Evaluation Service “Some of your recipients are not appropriate for a CES Report. You may remove recipients with the link below”. What do I do?

Perhaps the state you are choosing does not use the Credentials Evaluation Service. Check with the board of nursing in the state you intend to practice to verify what service they need. You can find a link to each state board at www.cgfns.org/sections/tools/apps/sbonrequirements.shtml

What if I forget my password?

There is a “Forgot Username/Password?” link on the login/register page you can click to help you. If you forgot your email, please call our CGFNS Customer Care Center using the details listed at https://www.cgfns.org/cerpassweb/processContactUs.do.

My date of birth isn’t valid.

When I try to create an online account using my CGFNS ID number, I get the error message, “The CGFNS ID and the Date of Birth do not belong to a current customer. Please check to make sure the entered CGFNS ID and Date of Birth are valid”. What do I do?

How do I get information to you from my school?

My transcript was rejected because “Program Admission or Completion dates were not provided by the School.” My school informed me that they have not received the letter that I have from you and therefore cannot send you my program admission or completion dates. How do I get you the information you request?

What if I don’t meet the requirements?

Mail and email issues and uncooperative organizations

You haven’t received my application.

I sent my printed application via special delivery through the post office, but when I check my status online it still indicates that you are waiting for my forms. What do I do?

Check with your post office to see if there is a number to track whether the application has been delivered to us. After we receive it, the application has to be processed by hand to match the application to the person applying, and that can take time. After you have ascertained that it was delivered to us, please contact us if, within four weeks or so, you don’t see “Received” in your status.

My school has not received information from you.

For the Credential Verification Service for New York State (CVS), my school says they have not received mail from you.

From the time you are notified that your application has been received, it can take up to two months for your school to receive the first letter. If more than two months, contact us to verify the address of your school using the details listed at https://www.cgfns.org/cerpassweb/processContactUs.do. Once you have verified the address, contact your school again to see if they have received correspondence from us.

I sent my documents to New York.

I sent my documents for the Credential Verification Service for New York State to New York State’s address instead of the 3600 Market Street address. How do I get my documents from them to you?

It may be more expedient and less expensive to redo your application online and send us only the notarized signature page and the authorization forms. We have no control over what actions other agencies will take.

I don't have my CGFNS certificate.

I passed the CGFNS Qualifying Exam® and the IELTS exam and haven’t received my CGFNS certificate.

There are several circumstances that could have permitted this to occur. You may have passed your IELTS, but IELTS International was not instructed to send your scores to us, so your status would have been “Waiting on English”. The two exams must be passed within two years of each other. Another circumstance could have been that you signed an Authorization to Release Information form, so your certificate would have been sent to the third party you designated. In addition to documents and payment, we need to receive your transcripts and license validation from your schools and licensing authorities. Once we receive them and your documents are successfully evaluated, you will be sent your certificate.

What do I do if my school hasn't sent documents?

For my Credentials Verification for New York State application, you say you still have not received any documents after 5 months and you have made more than 3 requests for transcript validation to my school. What do I do?

The New York State Education Department requires that CGFNS send requests to your school. We make three attempts in 180 days to obtain your transcripts. If the schools do not reply, we must send a report to New York without your verified documents. New York may attempt to contact your schools because they did not respond to CGFNS.
